Set the firm's visual elements
Prepare the logo, contact details and required notices. Choose a readable font, comfortable margins and a consistent heading hierarchy. Limit decoration that takes space without helping readers. Check both a short page and a longer document: an attractive header can become intrusive when repeated on every page.
Structure the text before exporting
Give the document a precise subject and matter reference. Separate facts, analysis and next steps. A complex table or long quotation needs particular attention after export. Watch for headings stranded at the bottom of a page and check that accents, figures and any Arabic passages remain readable. Presentation settings cannot compensate for an unclear argument.
Review the actual file being sent
Open the final PDF, check pagination and search for the parties' names. Verify promised appendices, cited references and the absence of internal comments. For an AI-assisted note, substantive review must precede distribution. Keep the delivered version in the matter's folder with a filename that clearly distinguishes its status from the draft.
Inspect the exported file, not only the editor preview. A short checklist shared across the firm makes this review repeatable.
